Essential Guidelines for Professional Wineries and Commercial Producers

To maintain the uncompromising quality of US Elite professional-grade wine concentrates and to ensure a seamless transition from our logistics network to your cellar, all clients are required to adhere to the following delivery procedures. These protocols are designed to minimize transit risks and streamline the receiving process for high-volume orders.

1. Standard Logistics & UPS Ground Integration

Our primary fulfillment strategy utilizes UPS Ground with Integrated Tracking, a method optimized for the efficiency required by commercial wineries and industrial warehouses.

  • Default Delivery Profile: Our standard shipping is configured as "Drop-off without a required signature." This allows for maximum flexibility, enabling carriers to deliver to your facility during standard business hours without requiring a staff member to be present for a physical sign-off.

  • Commercial Advantage: By utilizing this streamlined approach, we reduce the likelihood of "missed delivery" attempts, ensuring your fermentation ingredients arrive on schedule and are ready for immediate processing.

2. Enhanced Security & Mandatory Signature Options

We recognize that high-value shipments—particularly multi-unit orders of 200L drums—may require additional layers of security based on your facility’s internal insurance or loss-prevention policies.

  • Customized Security: If your winery or secure warehouse strictly requires a Mandatory Signature, this must be established prior to the finalization of your transaction.

  • Administrative Surcharge: Please note that a specialized carrier surcharge applies to signature-required deliveries. Contact our logistics coordinator at 760 343 1840 to adjust your shipping profile. Failure to notify us before dispatch may result in standard drop-off procedures.

3. Strategic Fulfillment: The "Single Order" Consolidation Rule

To maintain fiscal efficiency and reduce the environmental impact of transport, US Elite operates an automated, high-speed fulfillment system.

  • Logistical Unit Integrity: Our system treats every completed transaction as a discrete, independent logistical unit. Once an order is entered into the queue, it cannot be manually intercepted or merged with other shipments.

  • Cost Optimization: We strongly advise procurement managers to audit their inventory needs and group all required varietals and bulk concentrates into a single comprehensive order. Placing two distinct orders separately will result in two independent shipping charges, as our system is unable to consolidate shipments post-purchase.

4. Rigorous Receiving & Inspection Protocol (Critical)

Upon the moment of delivery, the transfer of risk regarding the external condition of the packaging passes to the recipient. To protect your investment, your receiving team must perform a Mandatory 3-Point Inspection:

  1. Structural Visual Audit: Immediately inspect the outer cardboard boxing, pallet wrap, and bracing for any visible signs of trauma, punctures, or moisture.

  2. Aseptic Seal Verification: It is vital to confirm that the tamper-evident aseptic seals on all 19.3L pails and 200L drums are completely intact. These seals are the only guarantee of product sterility and freshness for your next vintage.

  3. Documentation of Discrepancies: In the highly unlikely event of transit-related damage or leakage:

    • Photographic Evidence: Take high-resolution photos of the damage before moving the product into your cellar.

    • Immediate Notification: You must email customerservice@uselitewine.com within 24 hours of the delivery timestamp. This strict window is a requirement of our UPS insurance policy to successfully initiate a damage claim and secure a replacement for your winery.

5. Digital Inventory Monitoring & Real-Time Tracking

Transparency is a cornerstone of the US Elite experience. Regardless of the scale of your order—from a single pail to a full truckload—every shipment is assigned a dedicated Digital Tracking Manifest.

  • Automated Updates: A tracking link will be dispatched to your registered email address the moment your order is scanned out of our Thousand Palms, California facility.

  • Operational Planning: This real-time data allows your production team to monitor the progress of your inventory as it moves across the country, ensuring you have the necessary equipment and staff ready for offloading upon arrival.

6. Geographic & Access Considerations

While we ship across North America, certain remote or restricted-access winery locations may require special handling. If your delivery site has height restrictions, narrow access roads, or lacks a loading dock for heavy freight, please provide these details in the Order Notes or contact our office directly to ensure the carrier is equipped for a successful drop-off.
